The Pipeline is a Kanban-style board — five columns, one for each stage of your sales process. Every prospect lives in exactly one column at any given time. You can see your entire top-of-funnel at a glance: who's new, who you've contacted, who has a trial booked, who showed up, and who converted.

Moving a lead from one stage to the next is as simple as dragging their card. When you drop someone into Converted, they automatically become an active member in your school's roster — no duplicate data entry.

What you see on each card

Every lead card shows you the essentials without making you click into anything:

  • Name and phone number — so you can call directly from the board
  • Days in pipeline — a counter that shows how long this person has been sitting at their current stage
  • Note count — a badge showing how many contact log entries exist for this lead

The days counter is more useful than it sounds. When you're scanning the board and you see a card sitting in "Trial Scheduled" for 12 days, you know something went wrong — they probably forgot, or life got in the way, and it's time to reach back out. Without that counter, that lead just quietly disappears.

The contact log

Every lead has a built-in contact log — a timestamped record of every interaction you've had with them. You click the notes icon on any card, a panel slides in from the right, and you see the full history of the relationship.

June 3: Called — left voicemail. No callback.

June 5: Sent follow-up text. Responded same day — interested, busy schedule, wants to try a Saturday class.

June 8: Booked trial for June 15.

June 16: Came in. Loved it. Moving to Trial Completed.

That history lives with the lead. If someone else on your staff needs to pick up the conversation, they're not starting from zero — they can see exactly where things stand. And if a lead goes quiet for a week, you can look at the log and decide whether another follow-up makes sense or whether it's time to move on.

Adding a lead takes 30 seconds

The Add Lead button is at the top of the board. You type a name, optionally add a phone number and email, and hit Save. The lead appears in the New Inquiry column immediately. That's it.

The goal is to make it fast enough that you actually do it in the moment — while the person is still in front of you, or right after you hang up the phone. If adding a lead requires navigating five screens and filling out a form, you'll do it later. Later usually means never.

Stats that tell you if your funnel is working

Above the board, three numbers update in real time:

  • Total leads currently on the board
  • Conversions this month — how many prospects you've moved to Converted in the current calendar month
  • Average days to convert — across all time, how long does it take from first inquiry to new member

That last number is the one most school owners find surprising when they first see it. If your average is 18 days but you've been following up after 3, you've been stopping too early. If it's 4 days and you've been agonizing over leads for weeks, you can relax — most of your conversions happen fast.

Search and the converted column

The search bar at the top filters cards in real time by name or phone number. If you have a lot of active leads, you can find anyone instantly without scrolling through every column.

The Converted column has a Clear button that removes converted leads from the board while keeping them as active members in your roster. This keeps the board clean once your pipeline is established — you're not looking at three-month-old converted cards alongside your current prospects.

How to get started in five minutes

You don't need to import anything or configure anything before you start using the Pipeline. Here's how most school owners kick it off:

  1. Go to Leads Pipeline in the Lotus sidebar.
  2. Add every prospect you can think of who has reached out in the last 60 days but hasn't joined yet. Name and phone is enough.
  3. Drag each one to the right column based on where things actually stand — Contacted if you've spoken, Trial Scheduled if they've booked, and so on.
  4. Check the board once a day — look at the days counter for anything that's been sitting too long at one stage and follow up.

That's the whole system. No complex setup, no integrations, no training required. Most people have their pipeline populated and working within the first session.

The bottom line

The leads you already have are worth more than the leads you haven't found yet. You've already spent the time — the phone call, the reply to the DM, the conversation at the front desk. The Pipeline makes sure that time doesn't go to waste.
